The Problem: In July 2012, an incident occurred in the Mantralaya (Central Secretariat -Mumbai, Maharashtra), where many departments' data and files were wiped because of fire. The damage was on a very high magnitude as it swept across all data across departments, thereby creating an immediate and unavoidable need for digitization of data and the working environment and also creating a paperless office. Employees were reluctant to adapt to the new technology. The conversion of data to digital formats itself was a challenge. Considerable upgradation of infrastructure was necessary.
The Solution: Training and capacity building measures were undertaken to ensure a successful transition to a digital workplace. Dedicated skill resources were deployed for the same. Deployment of the dedicated network and infrastructure facilities necessary to support the application was also carried out.
The Result: There has been a huge amount of reduction of paper in daily use. An environment has been created which allows users to access data from the LAN/ Intranet, thus reducing the dependency of data stationed at one point. This project has also enabled the creation of a knowledge management system. It provides flexibility to the users in addition to bringing about transparency, ultimately leading to the creation of open governance.
