iGATE Global Solutions : Printing Governance

Printing governance is a concept formulated by iGATE under its
flagship initiative called iBEES (iGATE's Business Efficiency Eco System). The
main objective of this project was to have accountability of actions taken by
users on printouts and also to reduce the cost of printing wherever possible.
Earlier, non-business related print jobs were issued by employees. This posed a
potential threat of many confidential business documents walking out of the
office premises. Administrators had no control over employees' print jobs and
print job tracking was not designed to question users on non-business related
prints. The challenge was to get a solution which works on their own framework.
Also, approvals from various customers for implementation and integration to
their Active Directory was required.

Pcounter, a printer accounting and
management suite which provides quota management for printouts and security for
prints was selected.

iGATE decided to review all possible sources of paper consumption in the
organization and emerged with a solution to curb paper consumption via printers.
Based on the print statistics collected across all printers, it was observed
that the high utilization of printer paper was due to lack of awareness about
paper conservation amongst employees. The user credentials were integrated with
Active Directory of the domain and only on providing proper credentials, the
data would be printed. iGATE is looking towards making its offices completely
paperless in coming years.
