The Problem: Legal, regulatory and other company sensitive information documents consistently posed a risk of information loss (during disaster situations) and potential financial impact on the company. Duplication of physical documents aggravated paper wastage and space consumption. Besides, most of the documents were spread across various data stores such as Exchange web stores, file share, SQL, SAP, etc. Multiple technologies and multiple support teams started posing operational issues for IT.
The Solution: DMS solution is based on MS SharePoint 2010 and comprises of OCR capabilities using IRIS power scan. Besides, it utilizes Skelta BPM for workflow management. It also provides a single DMS repository across the organization which enables search on both authored as well as scanned documents.
The Result: The solution has reduced risk for the organization through electronic storage of documents and enhanced disaster recovery mechanisms. Besides, the organization 'goes green' through reduction in paper usage. So far the company has able to scan and upload around 8.31 lakh hard copies to DMS repository.
