Costing Rs.3 crores, the University Management System (UMS) was basically
developed to help in teaching activities with the help of IT. Now to implement
it a lot of issues were faced, for instance, digitization of content, anywhere
and anytime access, one click method of studying, teaching & learning, etc.
Completely shifting a system online by integrating different teaching processes
was finally achieved. But with time, it gradually got converted into an ERP
system which is responsible for the overall processes of the University. Hence a
lot of administrative & academic processes like Accounting, email, integration
with SMS, Online resources, and complete admission management, etc became a part
of the ERP system.
Though they faced a lot of business challenges, but the major one comprised of
architecting the solution, networking problems, and seamless integration of
teaching processes. It also included user load & acceptance and shifting from a
manual system to an online system. The successful implementation of UMS led to a
number of benefits. The concept of working anytime and anywhere and making it
completely online that helps in reducing the paper cost, is one of the benefits.
Other benefits are centralized data storage solution for attendance, marks &
assignments, better control of the procedures, automatic analysis by UMS for
exams, and teaching reports.
This also saves the student/staff time for tracing out the concerned official
who is to be contacted for solving the problem.
