The Problem: The Corporate Management Services (CMS) team is responsible for internal audit assignments in 63 companies, which include 10 listed companies. After an internal audit is completed and the report is released, the auditee is required to update the corporate management services department, on a quarterly basis, about the progress of implementation of the action plans agreed in the audit reports. However, this had its own limitations.
The Solution: To overcome these limitations and to make the system of getting action updates from the auditees a real-time exercise, it was decided to launch a portal for such action updates from the auditees. They had to ensure that customer needs are prominently kept in mind, while at the same time meeting the needs of the CMS department. Keeping all these aspects in mind, they developed a portal on the Microsoft SharePoint platform.
The Result: By ensuring that the manner, periodicity and the format in which the action updates are given by the auditee are not disturbed, they were able to maintain continuity but with ease of operation which also helped the auditee in accelerating the speed of response. Thus, unlike the earlier Excel-based system, the auditee is no longer required to copy the audit recommendation, the agreed action plan and the target date.
