Implementing this document-management solution is fairly simple. It has a Java-based server, and can therefore be implemented on various platforms. We installed it on a Win 2000 Advanced Server without a hitch. The desktop clients are available for different versions of Windows and equally easy to setup. The other component of OmniDocs is a database server and the package installs MSDE (Microsoft SQL Desktop Edition) by default. It also works with other database servers such as MS-SQL Server, Oracle, and

PostgreSql.

Working with OmniDocs is fairly simple. Every desktop client provides its respective user with what’s called a cabinet for storing documents. This cabinet is unshared so that other users can’t access it. Every cabinet has two folders by default called My Documents and Trash. More cabinets can be allocated to users as per the requirements. The client can acquire data from a variety of sources. You can scan them in, send them by email, or acquire them from any storage device such as a hard drive or optical media.

The software has a good version-control system. If a file is copied to a folder that has another file by the same name, the new file gets a number allocated next to it to mark the difference. This ensures that the old file does not get overwritten and contents are not lost. Another feature we checked was the multilevel search mechanism. Documents can be searched on document name, author, keywords, creation and modification dates. Similarly, folders can be searched on folder name, owner, creation and modification dates.

This product also provides forms to add additional data to stored documents. This includes addition of keywords for search and comments. For quick viewing, it comes with an OmniViewer application that can view graphic or text. This helps in taking a quick view of documents without using the default application for viewing.

OmniDocs also has an optional web based client component that allows you to use it from a Web browser, making it accessible from anywhere over the Internet. For this, it requires a separate server component and a Web server, which can be IIS, Apache, or

iPlanet.
