Before the deployment of this project at SPS Apollo Hospital, the people who
were among hospital in-charge, team leaders or unit heads had to prepare the
duty rosters manually on paper and submit that to the HR department, to feed
that information into the Akhil Hospital Information System (HIS). Considering
the hospital's 24x7 scenario with around 1000 employees on the roster across 12
working shifts, the process of manually feeding the duty roster information into
the Akhil HIS was cumbersome for the HR department. Adding to this woe was the
fact that there were modifications made very often in the shifts due to
reallocation or interchanging of the employees. This resulted to a lot of
discrepancy at the end of each month in employees attendance. To correct such
discrepancy, a lot of manhours were being consumed. Also the employees had to
check about their leaves record with the HR dept intermittently.
To counter these issues, an Employee Self Service (ESS) and Leave &
Attendance System was envisaged as a project to be implemented. After the
deployment of the project, the unit heads can prepare the duty rosters for their
respective team members directly into this online system. The process is now
paperless and hasslefree, and the roster can be modified any time by the unit
heads. The system is meant for all hospital employees for their attendance
record maintenance through which they can get the information about their leaves
and can also apply for their leaves through this system. As a future growth to
the project, the hospital is also planning to include employee appraisal system
into this system.
